Ailesbury Private Nursing Home, which is situated in Sandymount in Dublin has been in existence for the past 16 years. It employs 40 staff operating a 24-hour shift pattern. Its sister operation, Ashbury Private Nursing Home has been in operation for the past 3 years. Situated in Blackrock, it employs 50 people who also operate on a 24-hour shift pattern. Both nursing homes are owned and run by the Fagan family with Robert Fagan Junior responsible for the staff and management of all rosters and payroll at both locations.
The Challenge
Prior to the introduction of Mitrefinch Time and Attendance Software from Advance Systems, the monitoring of rosters had become a very tedious and slow process. All work times were recorded manually on time sheets. At the end of each week, Robert Fagan was manually calculating the hours worked by each of the 90 employees from a main roster of staff operating over four shifts. These shifts take place between 8.00am and 8.00am the following day. Some shifts are only 6 hours in duration while others last up to 12 hours. Additional staff included cleaning staff working between 9.00am and 3.00pm.

A key benefit is a significant reduction in the number of queries that Robert needs to deal with, allowing him to focus his time on other areas of the operation. In addition, the system is interlinked to the payroll system at the Ailesbury & Ashbury Nursing Homes. Once the hours are collated and any anomalies checked, they are ready to export to payroll.
