If you’re in the healthcare industry, you know that your commitment to patient care is a 24/7 job. Many organisations in healthcare are open around the clock and employ a combination of professional, union and unskilled employees. In addition to meeting mandated staff-to-patient ratios, healthcare organisations must also adhere to complicated laws that dictate the times of day and week union employees – such as nurses and medical assistants – receive wage increases. In addition, large staffs, some of whom work in more than one location, can make managing the workforce accurately and efficiently both complicated and challenging.
Mitrefinch Workforce Management Software can help:
- Improve patient care: The Skills Matrix tool allows the system to schedule your employees according to skill assessment, ensuring the right employees are scheduled at the right time.
- Analyse labour: Schedule staff according to patient demand and meet mandated staff-to-patient ratios, without going over budget.
- Eradicate compliance risks: Be secure in the knowledge that employees are adhering to complex wage and labour laws specific to the healthcare industry.
- Monitor your mobile workforce: Easily keep track of employees who work at different worksites by choosing from a variety of clocking options, including Smartphone, Internet and intranet, swipecard technologies, and biometric terminals and desktop readers.
- Reduce workforce costs: Minimise administrative errors, reduce costly overpayments, and eradicate time abuses such as “workmate punching”.
- Boost employee productivity: Track planned and unplanned absences, view workforce performance in real time, and use data to ensure employees are meeting goals.
- Manage entitlements and accruals: The Employee Self Service option allows all workers to view and manage their own benefits, holidays, and sick time via the system.
- Improve employee safety: Fire evacuation functions ensure that the whereabouts of all employees are recorded, so that emergency personnel can ensure they are evacuated in the case of a fire or other emergency.
- Seamlessly, easily integrate your payroll system: The flexible Time and Attendance Software allows you to automatically link data to payroll, financial, and HR systems.
- Report on trends. Use real-time data to view habits and trends pertaining to overtime, absences, and productivity.
- Streamline the HR process: Full human resources functionality means you can store, view, report, and schedule notifications pertaining to training, disciplinary issues, performance reviews, disciplinary grievances, and other employee details.
Problem:
Customer X is a large homecare provider who required the ability to schedule staff with the correct skills & qualifications to the correct clients based on the different care needs of each client. With many clients of varying needs, and employees being scheduled to visit multiple clients in the one day, this was a time consuming manual exercise. In addition, the customer had no way off knowing if employees were attending the visits on time.
Solution:
Time and Attendance Software was configured to allow the addition of clients to the system along with their care requirements and the visiting times required. When using Time and Attendance Software to roster employees against clients, only employees with the correct skills & qualifications, and who were not already rostered during the required time periods, were shown as available. Employees had the option of registering their clocking times by gps-enabled cell phone, or through the client’s own landline phone.
